Position Summary Southern Land Company, a national real estate development and construction firm is seeking a full-time Information Technology Administrative Assistant to join our dynamic team. As a Technology Administrative Assistant, you will play a crucial role in supporting the IT team by handling administrative tasks efficiently. Primary Responsibilities Procurement and Inventory Management: Collaborate with vendors to procure IT equipment, software licenses, and other technology resources. Maintain an accurate inventory of IT assets, including tracking their lifecycle, warranties, and maintenance schedules. Returns and Repairs: Manage the return process for defective or outdated equipment. Coordinate repairs and replacements as needed. IT Demos, Scheduling and Training Coordination: Assist in organizing and conducting IT product demonstrations for internal stakeholders. Provide basic user training for software applications and tools. Schedule meetings, training sessions, and IT-related events. Coordinate logistics, including room reservations, AV setup, and catering. Customer Service Orientation: Serve as a Champion for customer success and follow up on pending tasks. Address user issues promptly and professionally. Organization and Communication Projects: Project Management: Create and manage project timelines, milestones, and deliverables. Document Management: Maintain a centralized repository for IT-related documents, training, policies, and procedures. Communication Channels: Facilitate communication within the IT team and across departments by creating and managing channels (e.g., Slack, Teams). Task Tracking: Implement a task management system (e.g., Asana, Trello) to track IT-related tasks, assign responsibilities, and monitor progress. Comments and Collaboration: Encourage collaboration by using tools that allow comments, feedback, and real-time collaboration on documents and projects. Financial and IT Tasks: Travel Expenses: Assist in managing travel expenses for the IT team, including expense reports, approvals, and reimbursements. Invoice Coding: Work with finance and accounting teams to code and process IT-related invoices accurately. Basic IT Tasks: Handle simple IT tasks, such as getting started with apps and tools based on the guidelines and training content developed. Energy and Enthusiasm: Bring a positive attitude and enthusiasm to the workplace. Foster a collaborative and supportive environment within the IT team. Growth Opportunities: IT Administrator/Customer Support/Help Desk Technician: Provide a clear path for the IT Executive Administrative Assistant to transition into a more technical role. Encourage learning and development in areas such as system administration, troubleshooting, and user support. Knowledge, Skills, and Abilities Strong working knowledge of Microsoft Products, Zoom, & other application systems. Ability to keep sensitive information highly confidential. Excellent written and verbal communication skills. Strong and pleasant telephone and interpersonal skills, and the ability to deal professionally with clients, vendors, and co-workers on the phone and in person. Excellent organizational and time management skills, ability to take the initiative, use good judgment, demonstrate a strong sense of urgency and attention to detail, and carry multiple projects through to completion. Possess a strong attention to detail, a high level of professionalism, and experience working with senior-level executives. Ability to work independently, prioritize work and ask for further clarification when necessary. Ability to work under pressure with tight time constraints, as well as the ability to deal with frequent interruptions, troubleshooting, unresolved situations, frequent change, delays, or unexpected events. Required Education and Experience Associate degree in a relevant field (e.g., Business Administration, Information Technology). Basic training in using computers, Office 365 Apps and Knowledge of Technology. Prior experience in administrative roles, preferably within an IT department. Familiarity with IT equipment and software. Excellent organizational and communication skills. Customer service-oriented mindset.
